Access Tech (Pty) Ltd (“Access Tech”, “we”, “us”) respects your privacy. This policy explains, in plain terms, what personal information we collect, why we need it, and how we protect it, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who we are
Access Tech (Pty) Ltd (Reg. No. 2013/005490/07) is a security installation company based in Pretoria, South Africa. Our Information Officer is Dewald van Rensburg. For any privacy question or request, email info@access-tech.co.za or use our Contact page.
2. What we collect
- Contact details: your name, phone number and email address.
- Site details: the address of the property and the information we need to plan and do the work, such as access arrangements and details of existing equipment.
- What you tell us: messages sent through our contact form, by phone, by email or on WhatsApp. We may record and transcribe phone calls and voice notes so that we have an accurate record of your job.
- Installation photos: photos of equipment and cabling taken on site, so we have a record of the work.
- Billing details: the name and, where relevant, company and VAT details needed to invoice you.
Security details of your property (alarm codes, gate codes, network passwords and system layouts) are treated as strictly confidential and used only for the job they were given for.
3. Why we use it
We use your information to reply to you, quote, install, service and invoice, and to follow up on work we have done for you (for example warranty and maintenance). We do not sell, rent or trade your personal information. We will not send you unrelated marketing, and you can ask us to stop follow-up messages at any time.
4. Who helps us process it
We use a small number of trusted service providers (“operators”) to run the business:
- cloud email and file storage (Google);
- WhatsApp messaging (Meta);
- our accounting software, for quotes and invoices;
- AI tools that help us draft quotes, summarise messages and transcribe calls and voice notes.
These operators may only use your information to provide their service to us, and are bound by agreements to keep it secure and confidential. Some of them store information on servers outside South Africa; we only use providers that are subject to agreements or laws that give a level of protection similar to POPIA. We share information with others only when the law requires it.
5. How long we keep it
We keep your information for as long as we need it for the work, the warranty period, and the business and tax records the law requires us to keep. After that it is deleted or destroyed.
6. How we protect it
Access to your information is limited to staff who need it to do their work, and our backups are encrypted. If we ever become aware that your information has been accessed without authorisation, we will tell you and the Information Regulator as POPIA requires.
7. Photos of our work
We photograph our installations to keep a record of the job, and we may use some of these photos on our website and social media to show our workmanship. We only use photos that do not identify you or your property: no people, faces, house numbers, street or exterior views, vehicle number plates, or anything that shows the layout of your security system, where cameras point, or how your property is protected. We remove location (GPS) data and refer to the area by suburb only. If you prefer that we never use photos of your installation, tell us at any time and we will not use them, and will remove any already published.
8. Your rights
Under POPIA you have the right to:
- ask what personal information we hold about you;
- ask us to correct it or delete it;
- object to us using it, or withdraw consent you have given;
- complain to the Information Regulator at inforegulator.org.za.
To use any of these rights, email info@access-tech.co.za. We may ask you to confirm your identity first. Some information (such as invoices) must be kept by law even if you ask us to delete it.
9. Cookies and this website
- No analytics or advertising tracking. This website does not use Google Analytics, advertising pixels or similar tracking tools.
- Spam protection: our contact form uses Google reCAPTCHA to block spam. reCAPTCHA collects information about your device and browser and may set cookies; Google’s Privacy Policy and Terms apply.
- Fonts and images: the site loads its fonts from Google Fonts and its images from an image delivery service. To do this, your browser connects to their servers, which see your IP address.
- Links: links to WhatsApp and Google Maps open those services, and their own privacy policies apply.
If we add any analytics or other tools, we will update this section first.
10. Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated at the top.
